Avoiding Costly Mistakes: A 5-Step Procurement Checklist for Energy & Mineral Equipment

Your check point: Compare the P.O. description against the manufacturer's engineering drawing, not the marketing brochure. Specifically, verify:

  • Material grade (especially seals, coatings, and internals)
  • Pressure and temperature ratings for your operating range
  • Connection type and thread standard (NPT vs BSP vs metric—this gets people constantly)

If the drawing and the spec sheet disagree, trust the drawing. That's what the engineer signed off on.

Step 2: The 'Common Knowledge' Audit

Write down every assumption. Then verify it with the supplier.

In 2019, I ordered 200 custom gaskets for a compressor manifold. The spec was detailed: dimensions, material, durometer. What I didn't specify was the finished surface finish on the sealing face. 'Standard' for that supplier was a 125 microinch finish. For our application, we needed a 63 microinch finish to prevent leakage under high-frequency vibration. Every single gasket leaked. $4,200 in materials, gone. Plus the cost of the emergency replacement order.

The problem wasn't the spec. It was the thing I thought was 'obvious.'

Your check point: Before you finalize the order, write down 5 things you assume are standard or default. Send them to the supplier as questions:

  • "Is the standard finish 63 or 125?"
  • "Do you default to left-hand or right-hand thread on this?"
  • "What is the standard packaging for export—individual wrap or bulk?"

If they answer differently than you assumed, you just saved yourself a headache.

Step 3: The Lead Time Reality Check

Ask for the lead time based on their current factory load. Not the standard lead time.

Here's the thing: I've learned that the '8-10 weeks' on a quotation sheet is often a marketing number. The actual lead time depends on whether they're running at 60% or 90% capacity. I once ordered a batch of Falcon-9 class separator coils from a new supplier who quoted 6 weeks. I didn't ask about their current load. Turns out, they were swamped with a major mining order and our coils didn't start production until week 5. We got them in week 10. The delay cost us a $12,000 penalty with our downstream customer.

Your check point: When asking for lead time, use this phrasing: "Based on your current production queue, what is the realistic earliest ship date for this order?"

If they pause or say 'let me check,' that's a good sign. If they answer immediately with the catalog lead time, ask again.

Step 4: The Hidden Cost Takedown

Ask for a full landed cost breakdown before you place the order. Yes, before.

From my experience managing roughly 300 equipment orders, the lowest quote has cost us more in 60% of cases when you look at the final cost to get the product to our warehouse. The $200 savings on a $3,000 heat exchanger turned into a $1,500 problem when the supplier used a freight forwarder that charged demurrage at the port because the paperwork wasn't in order.

Your check point: Get these numbers in writing:

  • Incoterm (FOB, CIF, DAP—know what each means for your risk)
  • Estimated freight cost (by weight and volume)
  • Estimated customs duties and brokerage fees (based on HS code)
  • Any testing or certification surcharges (API, ISO, etc.)
  • Handling fees for special packaging (crating for heavy parts, for example)

If a supplier is hesitant to provide this breakdown, that's a red flag to me.

Step 5: The 'Yeah, But...' Review

Read the P.O. terms and conditions as if you were planning to enforce them.

This step is the one most people skip. In my first year (2017), I made the classic mistake of issuing a P.O. with our standard payment terms: 50% down, 50% on delivery. The delivery was 3 weeks late. We had no contractual leverage to recover the cost of the downtime because our P.O. didn't include a penalty clause for late delivery. We paid the remaining 50% because the parts were still needed. $4,500 paid, zero recourse.

Your check point: Before you send the P.O., review it for these things (or ask your purchasing department to):

  • Are the delivery dates specific, not ranges?
  • Is there a consequence for late delivery? (e.g., liquidated damages or at least a right to cancel)
  • Are the warranty terms explicitly stated? (What's covered? Shipping? Labor?)
  • Is the dispute resolution mechanism clear?

A 'clean' P.O. isn't one that's simple. It's one that protects you when things go wrong.

Final Notes: The Things I Still Get Wrong

I use this checklist every time I place a capital equipment order. I'd say it catches about 4 out of every 5 potential issues. The remaining 1? That's usually something I didn't know to ask about.

One thing I still struggle with: remembering that a supplier's sales engineer and their production engineer don't always talk to each other. I'll get a confident answer from sales, but the production team builds it differently. My best current fix is to ask for the manufacturing routing sheet or the final inspection report after the first article is made. But honestly, I'm not sure that's 100% reliable either.

My experience is based on about 250 orders for components and consumables in the upstream oil, gas, and minerals sector. If you're buying complete systems or dealing with a different segment entirely (like offshore or hard rock mining), your experience might differ. The principles hold, but the specifics—especially around compliance and testing—will vary.

One last thing: I once ordered an API-certified valve that met every spec on the data sheet. But the supplier had filled the cavity with a grease that wasn't compatible with the high oxygen content in our injection stream. It wasn't a spec issue; it was a 'what's inside the box' issue.
