You type “falcon” into Google because a colleague mentioned a company named Falcon Industries. Before you can blink, you’re looking at a peregrine falcon peregrine photo gallery, a Maxpedition Falcon II backpack listing, the House cast from some medical drama, and a headline that asks “why was Groves in jail?” This is not a hypothetical.
I’m a quality/compliance manager at a B2B energy equipment company. I review hundreds of incoming parts and supplier documents every year—maybe 200, give or take, I’d have to look at our QMS—and I’ve rejected about 12% of first deliveries so far in 2025. That number sounds high, but it includes documentation errors, not just physical defects. Over the years, I’ve built a simple checklist for evaluating new suppliers. Step 1. Search Like an Engineer, Not a Tourist
The first move is not to click the first link. Then go to the company’s official website and look for:

And use LinkedIn. If a company’s “operations manager” has no prior experience in your industry, that’s worth investigating.
Step 2. Check the Product Scope—and Beware the “We Do Everything” Line
Energy and mining equipment is not a single skill set. A company that makes drill rigs isn’t automatically good at pressure vessels. I once evaluated a supplier that claimed to be a “one-stop solution” for everything from conveyor belts to gas compressors. The truth? They outsourced all manufacturing and the quality varied wildly.
Look for a defined product line. Ask for the exact equipment model you need, not a general brochure. If they say “we have everything,” they mean “we buy from anyone.” A specialist who says “this isn’t our strength—here’s who does it better” will earn more trust than a generalist who overpromises.
Step 3. Verify Certificates—and Their Scope
“We’re ISO 9001 certified” is almost meaningless until you see the certificate’s scope. I’ve had a vendor hand me an ISO certificate that covered only “trading activities.” Their manufacturing was not certified. That’s a critical difference.
Ask for copies of their certifications, then read the fine print. For mining equipment, look for relevant standards like API Q1 or ISO 9001 with a scope that includes design and manufacturing, not just sales. Also ask about their internal quality checks—incoming inspection, in-process QC, and final testing. A certificate means nothing if the process isn’t followed daily.
This is where I’ve seen the most bluffs. One supplier proudly displayed an ISO logo on their website, but their certificate expired three years earlier. We only caught it because we asked for the PDF.
Step 4. Ask for Traceable References—Not Just Customer Names
Lots of vendors will say “we work with major companies” or “our clients include Eddie’s kids’ team.” That’s not enough. I need a project name, a timeframe, and a person I can call.
A good response: “We supplied 40 high-pressure valves to the Ashford mine site in Q3 2024. The maintenance supervisor is named Tom, and here’s his direct number. You can ask him about lead time and documentation.”
A bad response: “We have an excellent reputation across the industry.”
If they can’t provide a verifiable reference, treat that as a warning. I learned this after we ignored a vague reference list and later discovered the supplier’s “biggest project” was a pilot test in a garage.
Another lesson: don’t assume big-name suppliers are safer. We once ordered 8,000 valves from a well-known manufacturer and received the wrong thread type on every single unit. Their quality system looked great on paper. The parts were not. Now I apply the same scrutiny to everyone.
Step 5. Test Their Technical Response
Before you sign anything, send a technical question about your application. For example: “Our process needs a valve with a Cv of 3.2 at 150 psi inlet. Can you confirm your model handles that?” Watch how they answer.
- A competent supplier will ask clarifying questions, provide a datasheet, or explain assumptions.
- An underqualified supplier will say “yes, we can do it” without asking a single follow-up.
This step has saved us twice. Once, a vendor’s salesperson said “that’s no problem” for a custom weld-neck flange. It turned out their engineering team never saw the request. The quote was based on a photo. We deleted them from the list.
Common Mistakes to Avoid
Three or four things trip people up all the time, regardless of industry:
1. Making price the first filter. The cheapest quote is often the most expensive when you add downtime, replacement parts, and emergency shipping. I’m not saying go for the most expensive option—just evaluate total cost, not unit price. A $3,000 valve that lasts a decade can beat a $1,800 valve that fails after two years.
2. Ignoring after-sales support. Ask about spare parts stock, repair turnaround, and warranty claims before you order. We once bought a piece of equipment because it was 15% cheaper, then waited six weeks for a $50 seal that kept the machine down. The “cheap” purchase got very expensive very fast.
3. Using vague terminology. If you say “house cast” and mean a foundry’s casting team—used loosely, “casting house” is the actual industrial term—be clear. If you use language from a TV show by accident, you’ll just confuse the supplier. Write every requirement down and define the specs.

At the end of the day, picking a supplier is a trust exercise, but trust should be based on evidence, not brand names. I’ve made mistakes by skipping steps—especially step 3—and I’ve paid for it in rework and delays. If you work through this checklist methodically, you’ll avoid the most common failures.
